Enrollment and Billing

1. Effective Date of Coverage

If you elect to enroll in one of our group health plans, you must contact Cindy Pearce, Fuld 122, as soon as possible after your arrival to schedule an appointment to complete your insurance application forms. You can email Cindy at cpearce@ias.edu or see the sign up sheet on her office door (Term I only) for an appointment time. Aetna health insurance coverage typically begins the first day of arrival. Please contact Human Resources to enroll so that your coverage begins immediately. When you enroll, Cindy Pearce (cpearce@ias.edu, ext. 4436) or Yuchao Wang (ywang@ias.edu; ext. 8243) can answer your questions concerning your chosen health insurance plan. It is recommended that you become familiar with the provisions of your plan before medical services may be needed. If you decide to enroll in the UnitedHealthcare Dental Plan, that coverage will be effective the first of the month after arrival.

2. Billing

If you will be receiving a stipend from the Institute, we will be deducting the group health premium monthly. Premiums are deducted during the months that the coverage is in effect. If you are receiving monies from outside sources, we will bill you monthly for the group health premium.

3. Termination of Insurance

Please note: You must notify Human Resources at hr@ias.edu by the 15th of the month prior to the month that you would like your health insurance to end. When you leave IAS, your insurance coverage(s) will terminate at the end of the month of departure so you will pay for the whole month. The premium(s) will not be pro-rated based on your departure date. You may want to take this into consideration when determining your departure date.
