Setting Up Microsoft Outlook for IAS Email

These instructions are for connecting Microsoft Outlook with your Zimbra mailbox. If you are in IAS housing or you are using the IAS wireless network, you will need to first establish a VPN connection.

Note: For staff and faculty, please discuss this with your helpdesk before proceeding. Other methods may be more appropriate.

Configuration Methods

  1. Click on the Start Menu.
  2. Type "Control Panel" into the search box and then open Control Panel.
  3. Click on Mail.
  4. In the Mail dialogue window, select Add....
  5. In the New Profile dialogue window, type the name you want to use to refer to your Outlook profile. You may use anything that is convenient to remember.
  6. Click OK.
  7. On the Add Account / Auto Account Setup dialogue window, select Manual setup or additional server types.
  8. Click Next.
  9. Select Other.
  10. Select Zimbra Collaboration Server.
  11. Click Next.
  12. Enter the following information:
    1. Server Name: mail.ias.edu
    2. Leave Use Secure Connection checked
    3. Make sure Connect using my Windows login credentials is unchecked
    4. Email Address: Type your IAS email address (e.g. jdoe@ias.edu)
    5. Password: Enter your IAS account password
  13. Click OK.
    • You may receive a message saying that "You must restart Outlook for these changes to take effect.", select OK.
  14. Uncheck Set up Outlook Mobile on my phone, too.
  15. Click Finish.
  16. Open Outlook and your Zimbra mailbox should begin to populate.
  1. When you first open Outlook it should prompt you to set up an account. If it does not, select Outlook from the menu bar Preference > Account
  2. Click on Add Email Account.
  3. Type your email address. "Please enter your email address." and click continue
  4. Type your password and click "Add Account". Note: Your screen might look different depending on the account you're adding
  5. If adding an IMAP or POP account
  6. Enter your account information:
  • Your Name: enter your name as it will appear on outgoing mail
  • E-mail address: enter your IAS email address (username@ias.edu)
  • Account Type: select IMAP
  • Incoming mail server: enter mail.ias.edu
  • User Name: enter your IAS username
  • Password: enter your IAS password
  • Click Add Account

  1. When you first open Outlook it should prompt you to set up an account. If it does not, click on the File tab > Info > Add Account.
  2. Select Yes for the question: Do you want to set up Outlook to connect to an email account?
  3. Click on Next.
  4. Select Manual setup or additional server types and click on Next.
  5. Select POP or IMAP and click on Next.
  6. Enter your account information:
    • Your name: enter your name as it will appear on outgoing mail
    • E-mail address: enter your IAS email address (username@ias.edu)
    • Account type: select IMAP
    • Incoming mail server: enter mail.ias.edu
    • Outgoing mail server: enter smtpauth.ias.edu
    • User Name: enter your IAS username
    • Password: enter your IAS password
    • Remember password: if you don't want to type in your password whenever Outlook opens, check this box.
  7. When everything is filled out, click on More Settings...
  8. Under the Outgoing Server tab, select My outgoing server (SMTP) requires authentication.
  9. If not already selected, select Use same settings as my incoming mail server.
  10. Under the Advanced tab:
    • In the Incoming Server area, choose SSL for the type of encrypted connection, and change the port number to 993.
    • In the Outgoing Server area, choose TLS for the type of encrypted connection, and change the port number to 587.
  11. Click Next.
  12. Click Finish.
