Fuld Hall and B Building - Practical Information

 

Office Supplies

Basic Office Supplies: Offices are stocked with supplies before Members and Visitors arrive. Check desk drawers (especially the top drawer and the second drawer) for basic office supplies. If there is something that you need that is not in the desk drawer there are supplies in the cupboards under the mailboxes and along the wall in the Historical Studies lounge (located to the right on the third floor landing of the central staircase in Fuld Hall). If you do not find what you need in either the desk or the cabinets, please email the staff pool to request additional supplies.

Interoffice Envelopes: If you have too many interoffice envelopes you may get rid of them by putting them in the Administrative Officer's mailbox.

Scrap Paper/Leftover Cover Sheets: Scrap paper (such as discarded print-job coversheets) that is printed on only one side, can be left in the bin by the printer on the third floor landing in Fuld Hall. This paper is available to everyone to take and use as needed for things like notes, or any other informal uses.

Stationery Logo: Network printers can print on letterhead paper - either in virtual form (printing on regular printer paper, but with the appearance of letterhead) or on actual pre-printed bond letterhead. Instructions for printing on letterhead are posted here. Brett Savage also keeps an electronic file that mimics Institute letterhead. If you would like a copy of this file for your own use (in either WordPerfect or Microsoft Word format) please send a request for this to Brett Savage. Please indicate which format you would prefer.

Personal Mail: If you are sending personal mail please put a stamp on it. The reception desk in Fuld Hall sells stamps. For packages there are gray cards in the supply cabinet that you can fill out and attach to the package with a piece of tape. This will allow your personal account to be automatically charged.

Coffee/tea: There is an espresso machine and an automatic hot water faucet for tea or instant coffee in the Historical Studies Lounge (also known as the Hans Kohn room) located on the 3rd floor landing of the central staircase in Fuld Hall. Please note if you want to use the provided espresso inserts we ask you provide your own coffee pods. In the West Building, there is a water dispenser by the second floor entry that has a hot water spicket that can be used to make tea or instant coffee. From 3:00 to 4:00 p.m. free coffee and tea are served in the Common Room in Fuld Hall.

Microwave & Refrigerator: Feel free to use the microwave and refrigerator that are located in the Historical Studies Lounge (also known as the Hans Kohn room) located on the 3rd floor landing of the central staircase in Fuld Hall.

Office Equipment

Minor Office Equipment: In the shared suite outside the Administrative Officer's office (F306) there is a three-hole punch, a heavy-duty stapler, and an electronic pencil sharpener available for your use. By the photocopier on the landing of the second floor of Fuld Hall there is a paper cutter. Feel free to use any of these items.

Printers: The network printer for offices in Fuld Hall is located on the landing by the central stairs, across from the mailboxes. There are two network printers in B building, one on the second floor, and one in the basement. Printers can be set to print single-sided or on letterhead.

Copiers: There is a copier inside a glassed-in area on the second floor landing, by the central stairs in Fuld Hall. After hours your ID card will operate the card reader to open the door to this area. There is also a copier in the basement of B building next to where the mailing materials are kept. There are two copiers on the first floor of West Building at the base of the staircase, facing the birch garden. They are all capable of color printing. The copiers can also be used for scanning to our network. The files appear on the I drive in a folder marked “Scans”.

Digital Sender: There is a digital sender inside a glassed-in area on the second floor landing, by the central stairs in Fuld Hall. After hours your ID card will operate the card reader to open the door to this area. Anyone can use this device. It is like sending a fax - the page is scanned and sent by e-mail as a pdf file. Instructions are posted on the wall nearby.

Printer out of toner: If either of the printers are out of toner, please call ext. 8044 and they will come and change the cartridge.

Printer out of paper: A supply of paper is usually located beneath the table holding the printer. If the paper supply is running low or is gone, contact any staff member to request additional paper, or you can email the staff pool.

Office Decor

Office Walls: Please do not put anything on the walls. We have installed bulletin boards and these should be used to put up any art work or anything else you need to have easy access to.

Climate Control

Thermostat: Each office has a thermostat that controls the temperature in your office. Look for a little box on the wall. You can adjust the temperature by moving the dial. Note: most offices in Fuld and B building do not have central air. See note below about airconditioning.

Air conditioning: Window airconditioners are available on request for offices in Fuld Hall and B building. Note that once a window airconditioner has been put in place you will not be able to open this window. If you would like to request an airconditioner, or have one removed, please contact Sharon Tozzi-Goff by calling extension 8383.

A note on heating and cooling systems in the Library, West Building, and the housing complex: these buildings use the same pipes for cooling and heating. This means that the system can heat or cool, but it cannot do both at the same time - or in a given season. It can be a difficult transition in spring and in fall when the weather is changing, and some days are warm and others cold. The Maintenance staff watches the weather and when it looks like the weather has consistently changed they will switch the system from heating to cooling, or vice versa. In the beginning of this switch there may be days that the temperature is unusual. Unfortunately, the system cannot be turned back over. If you find the library is too hot or too cold please inform Marcia Tucker.

Building Resources

Mail: Mail delivery is approximately 8:30 a.m., 11:30 a.m., and 2:30 p.m. each week day.

Restrooms: In Fuld Hall the Men's room is located on the landing by the central staircase on the third floor. The Women's room is directly below on the landing of the second floor. There are also both Women's and Men's restrooms on both the 4th floor, and in the basement of Fuld Hall. In B Building there are two individual restrooms, one on each floor. Please lock the door when in use, and leave the door open when you leave.
